  1. Open Forum – agreed discussion points:

VENUE:

  • Quote for Redlands Memorial Hall discussed – is available on 26/11/2022

-6:00 to 16:00: $23/hr

-16:00 to midnight: $46/hr

-$195.50 cleaning fee if food to be had within the premises

 

If hired from 7:00 to 22:00     = $207 (9hrs x $23) + $276 (6hrs x $46) + $195.50 cleaning

=$678.50 total venue hire cost

  • Group consensus on price and submitted this as a proposal to the board for funding
  • Amy to contact Redlands City Council to book and confirm the following:

-Any further discounts that can be achieved

-Insurance for equipment left overnight – between Friday night Cleveland meeting and Saturday Unity Day

-Inclusions for the venue: main hall, smaller room to the right of the entry doors, possibility of the smaller hall behind the main Redland’s Memorial Hall, how many chairs are at the venue

FINANCIALS

  • Discussed the process of submitting a proposal to the NANASA Board for financial support approval
  • Would consider the total costing, the fact we are a new GSF, any clashes with other events in the NANASA area
  • Group consensus that this is the direction that will be taken for the Bayside Unity Day 2022 – agreement to submit full funding proposal to the NANASA Board

 

  • Discussed that there is also a “Square” payment device that can be borrowed from the Board – aiming to achieve the whole day CASHLESS
  • Also raised the possibility of using a “ticket” system to achieve CHASHLESS event

ENTRY FEES:

  • Discussed and agreed by consensus of members

-$10: pre-registration and concession

-$15: on the day

-$Gold Coin: rehabilitation centres and members under 30-days clean time

 

CATERING

  • Clay & Sarah nominated and supported as catering subcommittee members
  • To come back to next Bayside Unity Day 2022 Planning Meeting with a range of options and quotes for catering the day
  • Suggestions: coffee machine, coffee van, help yourself coffee, sausage sizzle, food trucks in the carpark

ENTERTAINMENT

  • Sub-Committee: Stevo & Brett
  • Stevo presented Ben W’s play – has reached out to Ben’s family for support for use on the day
  • Discussed main entertainment costs will be sound equipment
  • Stevo & Brett to start working on plans – calling out for acts and suggestions – e.g. karaoke, comedy, music, dance
  1. Next Meeting:

Nicole raised that the Minister of the Anglican Church Alexandra Hills, where the meeting is held today. Is agreeable to the Bayside Unity Day 2022 Planning Meetings being held ongoing prior to the Alexandra Hills Saturday NA Meeting, as required. Agreement for additional rent is a donation as aligned with our traditions we will not decline outside contributions.

Group consensus for this to the ongoing locations of future Bayside Unit Day 2022 Planning Committee Meetings.
