ADMINISTRATIVE TRUSTED SERVANT POSITION DESCRIPTIONS
LOCAL SERVICE CONFERENCE FACILITATOR
Term: 1 year. May be elected to two consecutive terms.
Clean time requirement: 3 years
Float: As required
Accountable to: Local Service Conference.
Role Description:
The LSC Facilitator position needs to have a clear separation from the LSB Chairperson. This is to ensure that the Local Service Committee operates with impartiality and the Board remains accountable to the Local Service Committee. The LSC Facilitator can collaborate with the LSB to prepare and agenda, gather resources and various administrative duties.
The LSC Facilitator is responsible for conducting LSC meeting elections. Training and topic workshops. The Facilitator’s primary tools are a firm hand, a calm spirit, and a clear mind. The Facilitator can find additional help in books about decision-making processes and voting processes from the NANASA Guidelines and other readily available service materials from NA World Services (NAWS). The Facilitators duties also include the storing and setting up the Zoom invitations for each LSC.
Duties and responsibilities
- Prepare and plan for the LSC in collaboration with the LSB.
- Attend the LSB meetings and collaborate with the LSB Chairperson and Secretary to produce and Agenda for the LSC.
- Gather and distribute resources as necessary, for the LSC event.
- Facilitate the Planning & Review segment; Elections of Trusted Servants from the LSC and facilitate workshops and training events.
- Recruit NA members to assist in producing and co facilitating LSC events.
The qualifications for the LSC Facilitators are:
- It is highly desirable that Facilitators have previous experience in facilitating and/or chairing NA events.
- Ability to facilitate and preside over service meetings; and workshops.
- A working knowledge of the Traditions and Twelve Concepts of NA Service.
- The LSC Coordinator must not hold any other NANASA position – apart from group and GSF service position.
- The LSC Coordinator must not also have a GSD position at the LSC.
- A knowledge of LSC conference policies and procedures.
LOCAL SERVICE BOARD/ LOCAL SERVICE CONFERENCE CHAIRPERSON
Term: 2 years. May be elected to two consecutive terms.
Clean time requirement: 3 years
Float: NA
Accountable to: Local Service Board / Local Service Conference.
Role Description
The LSB chairperson can carry both roles.
- Planning the LSC
- Conducting LSB meetings.
- Assisting the secretary with the storing and setting up the Zoom invitations for each LSB
- The LSB Chairperson can be responsible for chairing the business segment at the LSC

LOCAL SERVICE BOARD/LOCAL SERVICE CONFERENCE SECRETARY
Term: 2 years
Clean time requirement: 3 years
Float: NA
Duties and responsibilities
- The LSB/LSC Secretary’s responsibilities include:
- assisting with keeping the NANASA LSB email cleared and up to date
- Assisting GSF’s to post minutes on the NANASA page at na.org.au
- Assisting the LSB/LSC Chairperson to set the Agenda for service meetings
- Keeping and the distributing the LSB Minutes
- Ensuring Trusted Servant Reports are included (attached) to relevant Minutes
- Keeping a record of the LSC proceedings and publishing accurate minutes of the ASC within one (1) month of the close of the conference
- The LSB Secretary is to act as the SC Secretary. Please refer to LSB Secretary Description.
- Maintain a contact list of LSB Trusted servants.
- Post relevant Minutes; Reports and Notices on NANASA page on na.org.au
LOCAL SERVICE BOARD/LOCAL SERVICE CONFERENCE TREASURER
Because of the added responsibility of handling money associated with service as treasurer, it’s especially important that the LSC selects its treasurer with care. If the LSC selects someone who is not capable of handling the job, then the LSC is at least partly responsible if money is stolen, service area expenses are not paid, or funds aren’t properly accounted for. It is recommended that the LSC elects a person to this position who is financially secure, good at managing their personal finances, inspire the trust of the LSB and LSC, and have substantial clean time

Float: NA
Desirable: Experience in business, accounting, bookkeeping, or as a successful group treasurer is very helpful in this role. The treasurer’s job is critical to the NANASA work.
Duties and responsibilities
- Act as a signatory on the NANASA banking accounts.
- Ensure the legal requirements of banking accounts and facilities for NANASA is met.
- Act as the main Administrator of the areas general funds.
- Maintain NANASA electronic banking records.
- Ensure any invoices; bills and accounts are paid in a timely manner.
- Reimburse Workgroups Coordinators for any moneys outlaid and top up floats, whilst ensuring that receipts are in order from their budgets.
- Assist in the preparation of budgets for the LSB & the LSC; Workgroups; and NANASA projects.
- Maintain up to date financial records.
- When in receipt of any cash contributions for NANASA they should always make out receipts to the contributors immediately, keeping copies for themselves with their official records.
- Assist Groups in making electronic deposits.
- Assist GSF’s in setting up sub accounts to hold NA funds.
- Prepare and distribute Financial Reports monthly to LSB online.
- Prepare and Present Financial Reports to the LSC.
- Produce an Annual Statement for the Fellowship and make it available by posting online on the NANASA page at na.org.au
POLICY COORDINATOR or (CHAIRPERSON)
Term: 2 year
Clean time requirement: 3 years
Float: NA
Desirable: A working knowledge of the Twelve Traditions and the Twelve Concepts of NA Service. Ability to work collaboratively with service bodies to develop and update Guidelines as needed and directed by the LSC and the LSB. Guidelines are to be ratified by the LSC.
Duties and responsibilities:
- advises the NANASA LSB about policy issues;
- coordinates the drafting of new policy for consideration by the NANASA LSB
- maintains and updates these Guidelines;
- maintains and updates the policy log of area policy decisions;
- Proofreads the newsletter to check for breaches of copyright and to check that the Traditions and Concepts are being followed.
- Determines the appropriate policy and procedure for LSB, LSC and Working Groups
- Ensures NANASA Policies are in accordance with Regional, Australasia and NA World Policies
- Maintain the Guidelines online.
- Maintain a current Policy log.
Note: that responsibilities of the Policy Chair also include those outlined in the LSB subcommittee chairs and administrative officers of these guidelines.
REGIONAL COMMITTEE MEMBER (RCM)
Term: 2 years. RCM – one term only
Election of Alternate RCM to RCM (provided that the requirements of the positions have been met) is not an open election but requires an affirmative vote of confirmation by consensus. If the vote of confirmation fails the position should be considered open for election.
Clean time requirement: 3 years
Float: As per the ARSC Travel Policy.
RCM’s are elected as a member of the Australian Regional Service Committee. RCM’s serve as the core of the Regional Service Committee, a body that coordinates Regional Service forums throughout the Australian region. The regional committee also serves consistently all year round as a contact point between NA World Services (NAWS) and the many Australian areas.
Duties and responsibilities:
- Keeping their areas in touch with the larger world of NA by providing information on activities in neighbouring areas.
- Informing the NANASA of regional meetings; regional projects and functions
- Providing a report to the ARSC from the NANASA.
- Report regional service reports relevant to NANASA service bodies and important issues being discussed at various levels of service within the region.
- The reports that the RCMs intend to present at the Regional Committee Meeting are to be presented verbally at the LSB meeting the month prior to the RSC meeting to ensure that input and/or comments can be incorporated.
- Carefully study the reports from NANASA groups, and service bodies in order to pass on area information to the region.
- Attend the Regional Committee Meeting held interstate.
- Payment of travel allowance and other appropriate expenses to be kept in line with ARSC Travel Policy Allowance and is to be updated by the LSB in line with the ARSC Travel Policy Allowance, in order that the RCM is not “out of pocket” for service-related expenses.
- Note: The ARSC pays the air fares and must be booked through the ARSC travel agent.
- NANASA will pay other travel related expenses, as approved by the LSB.
- Share information with the RCM Alternate and assist the RCM Alternate to move into the role at the end of the RCM’s term.
ALTERNATE REGIONAL COMMITTEE MEMBER
Term: 2 years (plus 2 years as RCM)
Clean time requirement: 3 years
Float: To be determined by LSB when needed.
Desirable: The ability to acquire knowledge and work within various service bodies and teams in a collaborative manner; with willingness becoming familiar working within the Twelve Traditions of NA and the Twelve Concepts of NA Service.
Duties and responsibilities:
- Attend the LSB meetings monthly.
- Attend workgroup meetings when required.
- Develop; write and present reports.
- Attend the Australian Regional Committee Meetings (ARCM) with the RCM if and/when required.
- Attend the last ARSC prior to them assuming the RCM role.
- Be accountable for any allowances to accommodate your role to the LSB.
- Be available to groups and service bodies to access resources and share information.
- Develop NANASA Service System and the ARSC Service Structure.
- Show the stability to complete the time commitment to full term.
Note: Payment of travel allowance and other appropriate expenses to be kept in line with ARSC Travel Policy Allowance. NANASA will pay other travel related expenses, as approved by the LSB. The RCM is required to book all travel arrangements in accordance with ARSC Policy.
LOCAL SERVICE BOARD WORKGROUP COORDINATORS
Note: During the Transition period Workgroups have been referred to as committees; sub-committees and Hubs. Coordinators of those service bodies are referred to as Chairpersons or Chairs. Workgroups has been adopted as a more realistic term for a groups of members undertaking NA service duties and tasks.
PUBLIC RELATIONS WORKGROUP COORDINATOR
Term: 2 year
Clean time requirement: 3 years
Float: As per Budget identified by LSB
Desirable: Good communication skills and the ability to network and work collaboratively with outside organisations and other NA service bodies. This role requires a sound working knowledge of the Twelve Traditions of NA.
Duties and responsibilities:
The general mission of the Public Relations Workgroup is to inform addicts and others in the community of the availability of recovery in Narcotics Anonymous. Service provided by the PR workgroup may vary widely from area to area. Proven ideas and projects information is available in the NA service literature (PR Handbook & A Guide to Public Information)
Note: Responsibilities of the Public Relations Chair also include those outlined in the LSB Workgroup Coordinators and the Administrative Members of these guidelines.
HOSPITALS AND INSTITUTIONS COORDINATOR
Term: 2 years
Clean time requirement: 3 years
Float: As per Budget identified by LSB
Desirable: Good communication skills, written and spoken, and the ability to network and work collaboratively with organisations and other NA service bodies; competent computer skills. This role requires a sound working knowledge of the Twelve Traditions and Twelve Concepts of NA.
The H&I Hub NA has oversight of delivering NA meetings into detoxes, rehabs, mental health units and correctional centres across the Northern Australia Service Area .
Duties and responsibilities:
- To support H&I Coordinators who organise meetings in rehab, detox, mental health and correctional facilities.
- Provide H&I guidance to the Northern Australia Service Area Board, H&I Working Groups, GSFs across the Northern Australia Service Area.
- Engaging with facilities to invite their interest in NA meetings.
- Preparing monthly H&I Hub reports for Northern Australia Service Area Board meetings.
- Attend and report to the quarterly LSC meetings.
- Ordering and distributing NA literature, pamphlets, booklets and banners from the FSO to rehab, detox, mental health and correctional facility Coordinators.
- Working collaboratively with Northern Australia Service Area Public Relations to promote H&I service delivery.
- Uploading H&I Hub reports to the H&I Hub webpage and ensuring the webpage is
- Updated and kept relevant.
FELLOWSHIP DEVELOPMENT COORDINATOR (previously known as Outreach)
Term: 2 years
Clean Time Requirement: 3 years
Float: As per budget identified by LSB
Desirable: Good communication skills, written and spoken, and the ability to network and work collaboratively with groups, individuals and other NA service bodies. Experience with Area FD/Outreach is desirable Have competent computer skills; and a sound working knowledge of the Twelve Traditions and Twelve Concepts of NA.
The primary function of Fellowship Development (FD) in the Narcotics Anonymous Northern Australia Service Area is to support the growth, unity, stability and recovery of NA Communities. The focus of FD should always remain one of support to foster growth and autonomy of groups whilst providing the services needed for connection.
Fellowship development includes tasks such as reaching out to an individual, inviting groups to participate in service committees, reconnecting with groups that are no longer participating in the service structure, reaching out to an emerging NA community or service committee, and supporting existing communities to increase their FD efforts.
Duties and Responsibilities:
- Form a workgroup of members who reside within the NANASA.
- Provide guidance to GSF’s, groups, and individuals across the NANASA.
- Work collaboratively with other workgroup coordinators to promote FD service delivery.
- Prepares a monthly FD report for Northern Australia Service Area Board meetings.
- Attend and report to the quarterly LSC meetings.
- Arranges for another member of the Workgroup to attend the LSB or the LSC meetings if they are to be absent.
- FD Coordinator shall arrange and facilitate monthly Workgroup Meetings at a date and time to be determined by all Workgroup members
- Ensure that any FD activities that require NA monies be presented to the LSC and or LSB, as appropriate. All proposals must include a financial budget.
- FD Coordinator should consider becoming a member of the Australian Regional FD Committee to foster strong relationships and assist in sharing of resources.
- FD Coordinator has authority to request changes to the NANASA meetings list on behalf of groups who request assistance and may actively assist groups in making their own changes.
- FD Coordinator shall maintain the FD email account, responding to enquiries as required and ensures that the NANASAFD@na.org.au email address is kept active by checking mail no less than weekly. (This address is to be confirmed.)
ACTIVITIES COORDINATOR
Term: 2 years
Clean Time Requirement: 3 years
Float: As per budget identified by LSB
The Activities Workgroup provides activities such as in A Guide to Local Services: Dances, picnics, BBQ’s, and special speaker meetings – these events are put on by GSF’s and/or the Area. Activities like these can provide a greater sense of community for the NA Fellowship and produce additional income. It should always be kept in mind, however, that these functions are designed to enhance NA’s primary purpose, not to replace group contributions.
Duties and Responsibilities:
- Form a workgroup and direct a process through which the events can hosted within NANASA.
- Provide guidance and support to the GSFs across the Northern Australia Service Area.
- Ensure a proposal is put forward to the LSC and/or the LSB, as appropriate.
- Ensure as a part of a proposal for any activities a budget is prepared.
- Ensure any unused funds are returned to the Area bank account within two weeks (14 days) of the activity being held.
- Ensure a comprehensive report including financial expenditure and income be provided to the LSB Trusted Servants within 2 weeks (14 days) of the completed activity.
- All monies handled by members of activity workgroup must fulfil a clean time requirement of one year (12 months).
- The Activities Workgroup floats or operating capital requires a dual signatory bank account with a financial institution approved by the LSB.
- In addition, the responsible storage of assets and the safe return of those assets at the end of the Coordinator’s term to the area and/or the incoming Coordinator.
- Prepare and Report to the LSB and/or the LSC.
- If the Coordinator is unable to attend an LSC; LSB or Workgroup meeting they are to nominate a member of their subcommittee to present their report and answer questions and convey their apologies.
