There are times when circumstances outside the control of the ARSC need resolution, before the next scheduled ARSC Meeting.

An urgent ARSC Meeting is held where ARSC business arises between meetings that cannot wait until the next scheduled Meeting. This is decided by the ARSC Chair after discussion by the ARSC Admin Committee.

Participation is the same as for a scheduled ARSC Meeting.

The Meeting will be conducted as a virtual meeting, normally in Zoom.

All Areas need to be aware of the possibility of an urgent ARSC Meeting and have access and availability if one is called.

Where the ARSC Admin Committee determine that the business is outside its scope for business and requires immediate resolution the procedure is

 

  1. The ARSC Chair notifies ARSC participants of the business at hand. (See also documentation listing ARSC participants)
  2. The ARSC Chair will provide ARSC participants with relevant written, audio or visual material as soon as possible describing the matter. This may be done by email, mail, courier, or fax depending on time restrictions. The cost of this distribution is incurred by the region.
  3. At the time of this distribution, the ARSC Chair will request that all interested parties prepare and provide the Chair with any relevant documentation. There will be a time limit set to do this.
  4. The ARSC Chair, with assistance from appropriate parties, will collate all such material and develop a discussion document.
  5. The ARSC Chair distributes the discussion document to all ARSC participants, as soon as they are able. As much time as possible will be given to participants to consider this material and they may clarify their understanding with relevant parties or persons prior to the urgent ARSC Meeting.
  6. The ARSC Chair will arrange for a Zoom meeting or teleconference call to be set up so that all ARSC participants can take part.

 

Any NA member who wishes to be included may make this request to the Chair.

At the time of the call or virtual meeting, each attendee must identity themselves to the ARSC.

 

Costs incurred by ARSC participants are reimbursed by the ARSC.
